Short Description:

A Program Coordinator is responsible for organizing and supporting the daily operations of a program or department to ensure goals are met efficiently. They manage schedules, coordinate meetings and events, track project milestones, and maintain accurate documentation and reports. The role involves collaborating with internal teams and external partners, monitoring budgets, and assisting with communications and logistics. Program Coordinators help ensure programs run smoothly and align with organizational objectives. Strong organizational, multitasking, and communication skills are essential for success in this role.

Duties / Responsibilities:

  • Assist in the planning, coordination, and execution of programs, projects, or departmental initiatives to ensure goals and timelines are met
  • Serve as a central point of contact for staff, stakeholders, and external partners to facilitate communication and collaboration
  • Monitor project progress, track deliverables, and prepare regular status reports or summaries for management review
  • Organize meetings, events, and workshops, including scheduling, logistics, materials preparation, and follow-up documentation
  • Maintain accurate records, databases, and files related to program activities, budgets, and participant information
  • Support budget management by processing invoices, tracking expenses, and ensuring adherence to financial guidelines
  • Develop and update program documentation, including policies, procedures, and promotional materials
  • Assist in evaluating program outcomes, collecting feedback, and identifying opportunities for improvement
  • Ensure compliance with organizational policies, funding requirements, and applicable regulations
  • Provide administrative and operational support to program leadership and assist with special projects as assigned

Skills / Requirements / Qualifications

  • Education: Bachelor’s degree in business administration, communications, public administration, or a related field preferred
  • Experience: 2–4 years of experience in program coordination, project management, or administrative support
  • Organization: Strong ability to manage multiple priorities, deadlines, and stakeholders simultaneously
  • Communication: Excellent written and verbal communication skills for internal and external correspondence
  • Technology: Proficiency with Microsoft Office Suite, project management tools, and data tracking systems
  • Analytical Skills: Ability to collect, interpret, and report on data to assess program performance and effectiveness
  • Attention to Detail: Accuracy in maintaining records, documentation, and reporting
  • Teamwork: Collaborative mindset and adaptability to support cross-functional teams and evolving project needs
